Privacy Policy

This policy explains how Automated Reality handles information when you use VoiceQuote, its website, support form, and QuickBooks connection.

Information we process

VoiceQuote may process audio recordings, transcripts, customer and job details, estimate drafts, QuickBooks company identifiers, OAuth connection data, app settings, diagnostic logs, and support information you choose to send.

How information is used

We use information to transcribe recordings, prepare estimate drafts, connect to QuickBooks Online, provide support, secure the service, prevent abuse, and improve reliability. We do not sell personal information.

Service providers

Audio and transcript content is sent to OpenAI to provide transcription and structured extraction. Estimate data approved by the user is sent to Intuit QuickBooks Online. Cloudflare provides website, redirect, download, security, and support-form infrastructure. Each provider handles data under its own terms and privacy commitments.

QuickBooks authorization

The authorization redirect passes the temporary authorization response back to the VoiceQuote app running on your computer. VoiceQuote stores QuickBooks access and refresh tokens locally. Disconnecting QuickBooks removes local tokens. You may also disconnect the app from your Intuit account.

Storage and retention

App settings, recordings, transcripts, drafts, and logs are stored on the Windows account using the app unless the user deletes them or uninstalls VoiceQuote. Support requests are retained only as long as reasonably needed to respond, protect the service, and meet legal obligations.

Security

We use HTTPS for online services, short-lived OAuth state checks, access controls, and Windows account encryption for supported local secrets. No method is perfectly secure. Do not submit information that is unnecessary for preparing an estimate.

Your choices

You can edit or delete drafts, disconnect QuickBooks, remove local app data by uninstalling, and contact support to request access to or deletion of a support request where applicable.

Children

VoiceQuote is a business tool and is not directed to children under 13.
